Facilities & Bookings
A facility is a shared amenity, such as a gym, party room, or pool, that tenants reserve. TenantBuddy lets you define each amenity's rules and handles the bookings, including tenant self-service.
What a facility is
A facility is any shared amenity in your building that tenants can use on a reserved basis. Common examples include a fitness room, party or community room, rooftop terrace, pool, or guest suite. Each facility has its own schedule and rules, and TenantBuddy keeps its calendar of bookings.
Adding a facility
Go to Facilities → Facilities and choose Add Facility:
- Name and describe it. Identify the amenity and add details tenants should know.
- Set its schedule. Define the hours and days the facility is available to book.
- Add blocked dates. Block out maintenance, private events, or holidays when it can't be reserved.
- Set tenant restrictions. Apply any limits on who can book or how often.
- Save. The facility is ready to accept bookings.

Schedules, blocked dates & restrictions
The rules you set shape what tenants can request:
- Schedules define the available windows, so bookings only happen when the amenity is open.
- Blocked dates take the facility off the calendar for maintenance or private use.
- Tenant restrictions set the guardrails, defining who's eligible and any booking limits, to keep usage fair.
Managing bookings
Bookings can be created two ways. Your team can book on a tenant's behalf, and tenants can book themselves. To manage them centrally, open Facilities → Facility Bookings :
- Review requests and reservations. See what's booked and what's pending.
- Create a booking. Reserve a facility for a tenant when they ask in person.
- Approve or adjust. Confirm, reschedule, or cancel as needed.
Every booking also appears on the unified calendar alongside work orders, so the whole schedule is visible in one place.
Tenant self-service booking
Tenants don't have to call or email to reserve an amenity. They can book directly from their tenant portal, within the schedules and restrictions you've set. That means fewer back-and-forth requests for you and instant convenience for them.
