Contract Documents & E-Signing
Generate the documents your tenants need to sign, such as leases, addenda, and notices, and have them signed online. TenantBuddy fills in the details for you and stores the signed copy on the lease.
PDF templates
You build your documents from uploaded PDF templates: your own existing forms, uploaded as PDFs. This is how you use official, province-specific lease forms exactly as they're published. Manage them under Settings → PDF Templates .
PDF templates support signature fields, so the document can be signed online.
Placeholders auto-fill the details
Placeholders are merge fields that TenantBuddy fills in automatically when it generates a document from a lease: the tenant names, the property address, the rent amount, and the lease dates, among others. Set a document up once with placeholders, and every copy you produce comes out personalized without retyping anything. Manage the available fields under Settings → Placeholders .

Most tenant fields are also available per tenant, numbered Tenant 1 through Tenant 5, so shared leases can name each person individually: Name, First Name, Last Name, Email, Phone, Address, and Date of Birth, plus their own signature, initials, and signed date. On top of these, you can create your own reusable custom placeholders under Settings → Placeholders .
Creating and signing a document
Documents are created from the lease, so the placeholder data is already at hand. The flow looks like this:
- Open the lease and choose to create a document, then pick a PDF template.
- TenantBuddy fills in the placeholders (tenant names, address, rent, dates) from the lease.
- Add or position signature fields where each party needs to sign.
- Send the secure signing link to each tenant.
- The tenant opens the link and signs in their browser, with no printing or scanning required.
- The completed, signed copy is stored on the lease for your records.

Where signed documents live
Every signed document is attached to the lease it was created from, so the full paper trail for an agreement stays in one place. When you need to renew or issue a notice later, those documents are generated the same way. See Renewals & Notices for that workflow.
